Who we are

Vibragear is the trading name used by the independent UK operator of vibragear.com. For privacy enquiries or to exercise your data protection rights, email hello@vibragear.com.

Information we collect

Depending on how you use the website, we may collect your name, billing and delivery details, email address, telephone number, account details, order history, product preferences, messages, returns information, device information, approximate location, Internet Protocol address, browser information, cookie identifiers and information about how you use the website.

We receive information directly from you when you order, create an account, submit a form, use live chat, contact us or request a return. We also receive technical and transaction information from the website, payment providers, fulfilment partners, delivery companies, analytics services and advertising services.

How and why we use personal information

  • To take payment, process, produce, deliver and support your order because this is necessary to perform our contract with you.
  • To answer enquiries, manage returns and handle complaints because this is necessary to perform our contract or pursue our legitimate interests in customer service.
  • To prevent fraud, secure the website and enforce our terms because we have legitimate interests in protecting customers and the business.
  • To keep accounting, tax and transaction records because we must comply with legal obligations.
  • To improve the website, understand performance and measure advertising where you have consented to the relevant cookies.
  • To send marketing where you have actively consented or where another lawful basis permits it. You can unsubscribe at any time.

Where we rely on legitimate interests, we consider the effect on your rights and do not use that basis where your interests override ours.

Payment information

Payments are handled by the payment provider selected at checkout, which may include PayPal and its card payment services. Vibragear does not receive or store your complete card number or security code. Payment providers process information under their own privacy terms.

Who receives information

We share only the information reasonably needed for a service with trusted recipients and service providers, which may include:

  • WooCommerce and website hosting providers that operate the shop.
  • Printful and associated production, fulfilment and delivery partners that make and deliver orders.
  • PayPal and other enabled payment providers that process payments and help prevent fraud.
  • Delivery companies that transport orders.
  • Email, form and customer support providers, including Fluent Forms, FluentSMTP and Tawk.to where those services are used.
  • Analytics, advertising and social media providers, including Google, Meta and Instagram related services where the relevant features and consent choices apply.
  • Professional advisers, regulators, courts, law enforcement or public authorities where disclosure is required or reasonably necessary.

We do not sell your personal information.

International transfers

Some service providers and fulfilment locations are outside the United Kingdom. Where personal information is transferred internationally, we use an applicable legal transfer mechanism or rely on a provider that supplies appropriate safeguards. You may contact us for more information about the safeguards relevant to your information.

How long we keep information

We retain information only for as long as reasonably necessary for the purpose for which it was collected, including customer service, fraud prevention and legal, tax and accounting obligations. Order and transaction records are normally retained for up to 6 years after the relevant accounting period, unless a longer period is required for a dispute or legal obligation.

Account information may be retained while the account remains open. Support and returns correspondence is retained for a reasonable period after the matter is closed. Cookie duration depends on the cookie and is described through our consent tool where available.

Your rights

Depending on the circumstances, UK data protection law may give you rights to request access, correction, deletion or restriction of your information, to object to certain processing, to receive information in a portable format and to withdraw consent. Withdrawing consent does not affect processing that was lawful before withdrawal.

Some rights are not absolute. For example, we may need to retain transaction information to meet tax or legal obligations. We will explain if an exemption applies.

The shop is not directed at children and we do not knowingly collect personal information directly from children who cannot lawfully consent or contract without appropriate involvement from a parent or guardian.
